Digital Transformation on a Nonprofit Budget: CRM and Website in 6 Months
A 30-year-old nonprofit trying to modernize with a $180K budget, a volunteer technology committee, and no dedicated PM.
The Challenge
A regional nonprofit serving 12,000 beneficiaries annually needed to modernize their CRM and public website simultaneously. They had $180K in grant funding, a 6-month spend window from the funder, a volunteer technology committee with no delivery experience, and zero internal project management capacity. Two previous modernization attempts over five years had failed to produce a usable system.
The Approach
Facilitated a scope definition session with leadership, the technology committee, and program staff. Produced a requirements document that distinguished must-haves from nice-to-haves. Ran a structured vendor evaluation for both the CRM and website, selecting vendors on value, support quality, and nonprofit pricing.
Ran the CRM implementation as PM: data migration planning, volunteer training coordination, and rollout sequencing that kept the organization operational through the transition. Delivered CRM go-live on week 10, two weeks ahead of schedule.
Coordinated the website redesign and development, managing the web agency relationship, internal content approvals, and the stakeholder review process. Launched the new website on week 23 and presented the grant deliverable documentation to the funder on time.
Results
"Every other attempt failed because we tried to do it without a PM. Having PMOstart run the delivery made the difference between a grant deliverable and another failed project."
